Allan Trynskov is Field Manager in a chain comprising 28 full-service car workshops. Daily, he manages 18 departments across Denmark. This is how he and his colleagues perform location checks to get extraordinary results.

Challenge: Upholding the brand standards

“It’s difficult to control if our workshops get things done how we want them to – and whether they do it. E.g., marketing, the cleanliness of the toilets, and the return of spare parts are usually not the first priority for the workshop managers. But these things are all important to keep up the brand standards.”

“We wish for customers to get the same experience in all workshops, regardless of the location. Specifically, we need the individual workshops to make staff-performed location checks by answering a series of questions based on the company’s goals.”

Solution: Staff-performed location checks

“By using location checks performed by managers and employees, we can ensure all workshops live up to the brand standards. Also, we can guide them in the right redirection regarding operating manuals. 

This is done by running various daily, weekly, monthly, and annual location checks. Throughout the year, we have more than 2000 checks. Some are performed by the workshop managers and some by the Field Managers.” 

How Workshop Managers use the system:

“Daily and weekly, each workshop carries out a location check, where they register what has been done and what hasn’t – what works and what doesn’t. It can be small things like; are all light bulbs working? And it can be more important things like; taking pictures of the customer toilet and the marketing material and checking off a series of yes/no questions. 

If e.g., a flag has a slit, an email is automatically sent to the marketing department, which then knows to send a new flag to that specific workshop. In this way, an issue is immediately turned into a task addressed to the responsible employee or manager.”

How Field Managers use the system:

“If the workshop is responsible for fixing a problem, an auto-generated report alerts the workshop and the responsible Field Manager. It allows us to monitor whether tasks are carried out without driving nationwide. 

Twice a year, Field Managers also do larger walk-throughs with each workshop. Depending on the walk-through results, the workshop will get a green, yellow, or red certification. Of course, workshop managers want to keep their business as attractive as possible. Thus, they’ll take action to get the best certification (the green).

It’s a great management tool for motivating the workshop managers.”

Marketing: Our marketing material is always up-to-date.

Cleanliness: We have achieved much higher tidiness and cleanliness in our workshops (e.g., spare parts don’t pile up).
